Return Basics

Each wholesaler has specific return requirements. After logging in, you can find these details in the Documents folder located in the Activity Center on the left side of the page. Products that require special handling—such as temperature-sensitive or hazardous items, refrigerated medications, controlled substances, or certain medical devices—are typically considered final sale. Returns are also usually restricted for short-dated stock, clearance items, special orders, or products marked as “non-returnable” at the time of purchase. When returns are accepted, they may incur a restocking fee and shipping costs, and credit is often issued at a reduced value, based on the lower of the current market price or the original invoice.
It’s important to remember that each wholesaler may have slightly different return rules or exceptions, and even small variations can affect whether a product is accepted or how credit is issued. Some may have tighter timeframes, additional documentation requirements, or unique restrictions on certain product categories. Because of these differences, the best approach is always to review the specific return policy for the wholesaler before initiating a return. Doing so ensures you understand all requirements, avoid surprises, and get proper credit for eligible items.
Stay up to date with the latest return policies from each wholesaler. Simply log in and, from the home screen, look in the left-hand “Activity Center.” Click the “Documents” link, and under the “Wholesaler Return Policy” section, you’ll find all current return policies for each wholesaler.
Packaging requirements
Proper packaging is essential when shipping cold-chain items back to the vendor. Using insulated containers or thermal shippers designed for medical products helps maintain the required temperature range during transit. Gel packs or phase-change materials should be included to stabilize temperature, but they shouldn’t come into direct contact with the product packaging to avoid freezing. Some vendors also require temperature indicators or data loggers to verify that the return stayed within acceptable limits. Each shipment should be clearly labeled “Refrigerated Return – Handle with Care” to prevent mishandling.
